Unassigned Rights

Benefits

Implementing assigned and unassigned rights provides the following benefits

  • Reduced inbox traffic: Supervisors and managers receive fewer unnecessary items in their inbox.

  • Improved visibility: Authorized users gain broader insight into submissions across the system.

  • Facilitated intervention: Supervisors and managers can more easily step in and make corrections when needed.

Assigned vs. Unassigned Rights

Form Definition: A form created within the Designer tool.

Form Submission: An instance of a particular form definition that appears in a userโ€™s Inbox.

Assigned Rights

Assigned rights limit the visibility of forms based on role specific assignments. Users with assigned rights can:

  • Create a form directly from the inbox

  • View any assigned form in their inbox to complete

If a form is not assigned to a userโ€™s role, it will not appear in their inbox unless they have unassigned rights associated with their user group.

Unassigned Rights

Unassigned rights extend visibility beyond role-specific assignments. Users with unassigned rights can:

  • View forms, even if the forms are not assigned to their role

  • Depending on the level of rights granted, edit those forms if required

  • See all results from a submission query, regardless of assignment

Dashboard Implications

Forms that are displayed within dashboards are dependent on submission queries. These queries pull the full list of forms that fall under the conditions of that query. If a user does not have unassigned rights, they will not see the full list of forms, as they would only get forms that are assigned to their user returned by the submission query. With access levels determined by the rights configuration:

There are 2 access rights determined by the configuration of the unassigned rights.

  1. View: Users can view form submissions.

  2. Update: Users may edit form submissions directly.
    The lock button can be used to enable editing of unassigned forms when intervention is necessary

  3. Delete: User can delete unassigned form submissions.

Submission Queries and Unassigned Rights

Submission queries will only return submissions assigned to that user unless the user has at least unassigned view rights to the submission.

Users with the appropiate unassigned rights can:

  • Search submissions under specific definitions.

  • View the full history of a form definition.

  • Review and identify errors associated with submissions
