Delete Submissions

Overview

You can delete submissions one at a time or in bulk.

DELETED SUBMISSIONS CANNOT BE RECOVERED

Once a submission is deleted, it cannot be recovered. Be certain before proceeding.

Deleting Individual Submissions from the Inbox

  1. Open the form submission you wish to delete.

  2. Click the Delete button on the submission.

A confirmation modal will appear. Click OK to permanently delete the submission. Deleted submissions cannot be recovered.

Disabling the Delete Button for End-Users

Control user access to the delete functionality by mapping a custom transition in the Designer. To do this, first open the Designer. Then, navigate to Form Details and locate the "Delete Transition Name" field. Map a custom transition to this field. Configure the delete transition to be disabled or enabled only for specific user groups. This granular control allows administrators to prevent accidental deletions and enforce data governance policies.

Deleting Submissions in Bulk from the Admin Tool

The Admin Tool provides a way to delete large numbers of submissions. Use an integration action of type Submission Request.

There are two types of Submission Request Integration Actions:

(1) Use the Delete Request Type to remove one submission at a time

(2) Use the Query Delete Request Type to delete multiple submissions based on a submission query

Running Submission Request Integration Actions

Two Options:

  1. Run it manually as a one-off from the TEST tab of the submission request integration action.

  2. Schedule it for recurring execution by adding it to a Scheduled Job (e.g., weekly, nightly).
