Overview
Manage form submissions in the Admin Tool by building a query to view important form details, review change history, update assignments, and download specific versions of a form.
You can search for specific form submissions by utilizing Creation Date, Created By, Form Definition, etc.
A form submission is one instance of a particular form definition which is in the Inbox.
Where to Find Submission Management
To access Submission Management, navigate to the Admin Tool and select the Forms Catalog tab. Once within Forms Catalog, click the Submission Management icon on the left menu.
Build a Query
Use the Query Editor to build a search parameter to find form submissions.
Steps:
Select the + within the Query Editor
Select a parameter to narrow down your query (Creation Date, Created By, Definition etc.)
Once you select your parameters to search to search by, set the values to call for specific users, dates, or search fields within the form.
Multiple parameters can be included by using AND / OR within your query
Once the parameters are added, you can run the query by clicking SEARCH
If the query returns returns form submissions, they will appear below the Query Editor.
Submission queries will only return submissions assigned to that user unless the user has at least unassigned view rights to the submission.
Reviewing Form Submissions
Here is a breakdown of each column presented:
Definition: The name of the form in the Inbox that has been submitted
Definition Version: The version of the form that was published when the form was created
ID: The backend ID specific to that submission
Version: The value here represents how many time the form has been updated (Saved, Set to a new status, etc)
Status: The current status of the form.
Created At: The data/time of when the form was created
Submitted By: The Mirata user who created the form
Submitted At: The date/time of when the form was last updated.
To view a specific submission, select it and click the edit pencil within the Submission Preview section.
View History and Download Versions
The HISTORY tab allows you to see a breakdown of the form lifecycle and view data version by version. To download a JSON file of the form select a version, and select DOWNLOAD FILE.
Edit Form Assignment
Edit a form's assignment by accessing the ASSIGNMENTS tab. It will display the user currently assigned. To add, remove, or add/remove a user(s) select EDIT ASSIGNMENTS. To add someone, simply select their name. To remove someone, deselect their name.
Access the admin tool and go to the Forms Catalog. Select Submission Management from the left-hand menu to open the interface for managing form submissions.
